TERMS & CONDITIONS

1. GENERAL

These Terms & Conditions govern all reservations, accommodation services, and stays at Hotel Alexander Amsterdam ("the Hotel").

By making a reservation, checking in, or staying at the Hotel, guests agree to comply with these Terms & Conditions and the Hotel House Rules.

The Hotel reserves the right to amend these Terms & Conditions where necessary to comply with legal, operational, or safety requirements.

2. RESERVATIONS AND PAYMENT

All reservations are subject to availability and confirmation.

The Hotel reserves the right to verify, pre-authorize, or charge payment cards provided during the booking process in accordance with the applicable reservation conditions.

Guests are responsible for ensuring that payment information provided is valid and sufficient to cover all applicable charges.

Applicable taxes, tourist taxes, government charges, and other mandatory fees may be charged in addition to accommodation rates unless expressly stated otherwise.

3. CANCELLATION AND NO-SHOW

Flexible reservations may be cancelled or modified free of charge until the cancellation deadline specified at the time of booking.

Non-refundable reservations cannot be cancelled, modified, or refunded.

In the event of a no-show, the full reservation amount may be charged and the reservation may be cancelled automatically.

Rooms associated with a no-show reservation may be released for resale.

4. GROUP BOOKINGS

Reservations consisting of four (4) or more rooms shall be considered group bookings.

Group reservations may be subject to separate payment requirements, cancellation conditions, deposits, occupancy restrictions, and approval procedures.

The Hotel reserves the right to refuse or cancel group reservations that do not comply with applicable group booking conditions.

5. CHECK-IN AND CHECK-OUT

Check-in is available from 15:00.

Guests arriving after midnight must notify the Hotel in advance. Failure to do so may result in the reservation being treated as a no-show.

Check-out must be completed before 11:00.

The Hotel may charge additional fees where guests remain in rooms beyond the agreed departure time without authorization.

6. EARLY CHECK-IN AND LATE CHECK-OUT

Guaranteed early check-in from 12:00 may be purchased for €35, subject to availability.

Late check-out may be available upon request and subject to availability:

• Until 12:00 – €15

• Until 13:00 – €25

• Until 14:00 – €35

Availability of early check-in and late check-out is not guaranteed unless confirmed by the Hotel.

7. IDENTIFICATION AND REGISTRATION

Guests may be required to complete online registration prior to arrival.

A valid government-issued photo identification document or passport must be presented upon request.

The Hotel reserves the right to refuse accommodation where required identification, registration information, or legal reporting requirements are not fulfilled.

8. MINORS

Guests under the age of 18 must be accompanied by a parent, legal guardian, or responsible adult.

Group stays involving minors are only accepted upon prior approval by the Hotel.

The Hotel reserves the right to request documentation demonstrating parental or guardian responsibility where appropriate.

9. VISITORS AND OCCUPANCY

Guest rooms are intended solely for registered guests included in the reservation.

Visitors are permitted only within designated lobby and reception areas during reception opening hours.

Visitors are not permitted in guest rooms, accommodation floors, stairwells, hallways, or other guest accommodation areas.

Guests wishing to accommodate additional persons must notify the Hotel in advance. Additional charges and occupancy restrictions may apply.

These measures exist for safety, security, and fire regulation purposes.

10. HOUSEKEEPING

Housekeeping service is available upon request.

For stays exceeding four nights, a full room service will normally be provided after the third night.

The Hotel reserves the right to access rooms for cleaning, maintenance, repairs, inspections, emergencies, and operational purposes.

11. DELIVERIES

Deliveries addressed to Hotel reception must be communicated in advance and may be accepted solely at the Hotel's discretion.

Guests requesting deliveries directly to their room are responsible for coordinating access and collection arrangements with the delivery provider.

The Hotel accepts no responsibility for delayed, lost, damaged, or refused deliveries.

12. SMOKING AND FIRE SAFETY

Smoking is strictly prohibited throughout the Hotel.

This prohibition includes, but is not limited to:

• Cigarettes

• Cigars

• Pipes

• Electronic cigarettes

• Vapes

• Heated tobacco products

• Similar smoking devices

A minimum recovery and penalty fee of €200 shall be charged for any violation of this policy, regardless of whether visible damage, odour, or residue remains.

The Hotel reserves the right to recover all additional costs arising from violations, including but not limited to:

• Specialist cleaning

• Room recovery

• Loss of revenue

• Fire alarm activations

• Emergency call-out charges

• Guest compensation

• Administrative expenses

13. DAMAGE TO PROPERTY

Guests are responsible for any damage, loss, excessive cleaning, misuse of facilities, or costs caused by themselves or persons under their responsibility.

The Hotel may immediately charge €200 in cases of intentional damage, serious misuse, or policy violations requiring remediation.

Where actual damages exceed this amount, the Hotel reserves the right to recover all additional costs, including repair costs, replacement costs, insurance deductibles, administrative expenses, and loss of revenue.

14. SECURITY AND MONITORING

The Hotel may employ security personnel, monitoring services, surveillance systems, access control systems, and other safety measures to protect guests, staff, and property.

Physical reception is available daily between 07:00 and 23:00.

Outside these hours, guests may contact the Hotel's remote reception service for assistance.

The Hotel maintains overnight security procedures and monitoring arrangements to support guest safety and operational continuity.

15. HOUSE RULES

Guests must comply with the Hotel Alexander House Rules, which form an integral part of these Terms & Conditions.

Failure to comply with the House Rules may result in warnings, financial charges, refusal of service, cancellation of the reservation, or removal from the Hotel without refund.

16. LIABILITY

Guests remain responsible for their personal belongings throughout their stay.

To the maximum extent permitted by law, the Hotel shall not be liable for loss, theft, damage, delay, inconvenience, business interruption, indirect losses, or consequential damages arising from a reservation or stay.

Nothing in these Terms & Conditions excludes liability where such exclusion is prohibited by law.

17. RIGHT TO REFUSE SERVICE

The Hotel reserves the right to refuse accommodation, deny entry, cancel reservations, or terminate stays without refund where a guest:

• Violates these Terms & Conditions or the House Rules

• Provides false or misleading information

• Causes disturbance to other guests

• Endangers the safety of persons or property

• Engages in unlawful activities

• Fails to comply with reasonable instructions from Hotel staff

18. PRIVACY

Personal information shall be processed in accordance with applicable privacy and data protection legislation.

Information collected during booking, check-in, or a guest's stay may be used to fulfil legal obligations, operational requirements, and guest service functions.
